This policy explains what we do with the personal information you give us through our website at https://www.cedarestates.com, and what your rights are.

It covers information collected when you:

  • request a property valuation or market appraisal
  • request or book a viewing
  • enquire about a property, including through a property portal
  • register to receive property alerts or join our applicant list
  • contact us through a form, live chat, email or telephone via the website

It does not cover information we collect once you instruct us — we will give you separate information about that at the time.

We handle your information in line with the UK GDPR, the Data Protection Act 2018 (as amended by the Data (Use and Access) Act 2025) and the Privacy and Electronic Communications Regulations 2003.


What we collect and why

Valuation and market appraisal enquiries

  • What we collect: your name, email address, telephone number, the address of the property, and anything else you tell us about it.
  • Why: to contact you, provide a valuation figure or arrange an appointment, and follow up.
  • Lawful basis: Contract — to take steps at your request before entering into a contract. Where you are making a general enquiry with no intention of instructing us, legitimate interests: our interest in responding to enquiries about our services. You contacted us and expect a reply.

Viewing enquiries and bookings

  • What we collect: your name, contact details, the property, preferred times, and your buying or renting position where you choose to tell us.
  • Why: to arrange and confirm viewings, give feedback to the seller or landlord, and answer questions.
  • Lawful basis: Legitimate interests — arranging viewings and marketing the property. Where you make an offer, contract.

Property portal enquiries

  • What we collect: your name, contact details and message, passed to us by the portal.
  • Why: to respond to your enquiry about the property.
  • Lawful basis: Legitimate interests — you asked the portal to pass your details to us.

Applicant registration and property alerts

  • What we collect: your name, contact details, and search requirements.
  • Why: to match you to properties and send you details that fit your criteria.
  • Lawful basis: Legitimate interests for alerts matching your requested search. Consent for wider marketing.

General enquiries

  • What we collect: your name, contact details and the content of your message or chat.
  • Why: to answer your question and keep a record.
  • Lawful basis: Legitimate interests.

Website use

  • What we collect: IP address, device and browser type, pages viewed, how you arrived, and information collected by cookies and similar technologies.
  • Why: to keep the site working and secure, understand how it is used, and improve it.

Legal and regulatory

  • Lawful basis: Legal obligation, and legitimate interests in defending claims.

We do not ask for special category information through this website. If you volunteer it in a message, we will only use it as far as necessary to respond to you.


Where your information comes from

Most information comes directly from you. We also receive information about you from:

  • property portals (Rightmove, Zoopla, OnTheMarket) when you enquire through them and ask for your details to be sent to us
  • someone making an enquiry on your behalf
  • publicly available sources such as the Land Registry

Marketing

If you enquire or register for property alerts, we will send you property details matching what you asked for. You can stop these at any time using the unsubscribe link in any message, or by emailing info@cedarestates.com.

We will only send wider marketing by email or text if you have opted in, or if you are an existing customer and it relates to similar services. You can opt out at any time and we will add you to our suppression list, which we keep so we know not to contact you again.

We do not sell your personal information.


Who we share your information with

  • the seller or landlord of a property you enquire about or view — your name, and viewing feedback. We will not pass on your contact details without telling you
  • our website, CRM and communications providers, who host the site and store enquiries on our behalf
  • email, SMS and telephony providers used to contact you
  • Google, for website analytics
  • Meta, for advertising measurement and targeting
  • Yomdel, who provide our live chat
  • professional advisers, such as our solicitors and accountants
  • our redress scheme, regulators, or law enforcement, where required or permitted

Where you proceed with a tenancy, we also share with referencing providers, deposit schemes and inventory clerks. We will tell you before we pass your details on.

Anyone acting on our behalf is contractually required to keep your information secure and use it only on our instructions.


International transfers

Your information is stored in the UK or the European Economic Area wherever possible. Some suppliers are based in, or store data in, countries outside the UK — principally the United States.

Where information is transferred outside the UK it is protected by an adequacy assessment, the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or the UK Extension to the EU–US Data Privacy Framework. How long we keep your information

We retain personal data only for as long as necessary to fulfil the purposes we collected it for, including satisfying any legal, accounting, or reporting requirements.

When we no longer need your information we delete it securely or make it anonymous.


Your rights

You have the right to:

  • ask for a copy of your information
  • ask us to correct it
  • ask us to delete it
  • ask us to restrict how we use it
  • object to us using it, including for direct marketing — if you object to direct marketing we will always stop
  • ask us to transfer it, where data portability applies
  • withdraw consent at any time where we rely on consent

We will respond within one month. We can extend this by up to two further months if your request is complex, and we will tell you if we need to. There is normally no charge, but we may charge a reasonable fee or refuse to act if a request is clearly unfounded or excessive.

If we decide not to act on your request, we will tell you why, and let you know you can complain to us and to the Information Commissioner’s Office.


Personalisation and automated decisions

If you are registered with us or have enquired before, and you have agreed to personalisation cookies, we record which properties and pages you view and link this to your record. Our team uses this to see what you have been looking at, so they can respond more usefully and prioritise who to contact first.

This helps us decide who to call first. It does not decide whether we will act for you, what price we will quote, or whether you can view a property — those decisions are always made by a person.

If you would prefer we did not do this, decline personalisation cookies in our cookie settings, or email info@cedarestates.com. We do not make decisions about you by automated means alone where those decisions have a legal or similarly significant effect.

Complaints

Complain to us first. If you are unhappy with how we have handled your personal information, you have a right under section 164A of the Data Protection Act 2018 to complain directly to us.
